Automatically Adding Users to a Dynamic Group - Learning Item Criteria

The information in this topic relates to Dynamic Groups. If you are looking for help with the Classic Groups functionality, refer to Classic Groups.

You can have LearnCenter automatically add Users to a Dynamic Group based on their mapping to Job Profiles, Skills, or Learning Plans. The following example uses Learning Plans. (The instructions are similar for Skills and Job Profiles.) In the Learning Plan below, notice that there are 3 Users manually mapped to the plan.

Using dynamic criteria filters, you can create a Dynamic Group that automatically contains Users who are mapped to this Learning Plan. When new Users are later added to the Learning Plan, they will also be automatically added to the Dynamic Group. To dynamically add Users to a Dynamic Group based on their mapping to a Learning Plan, follow these steps. On the ControlPanel:

  1. Click  on the Users menu to expand it.
  2. Click Groups.
  3. User the Filter section to locate the Dynamic Group you want.
  4. In the Results section, click the name of the Dynamic Group, or rest your pointer on the Group row, and then click . The Edit Group window opens.
  5. Click the Dynamic Criteria tab.

  1. Select Learning Plans from the Item Type drop-down list.
  2. Select Equal To or Like from the Operator drop-down list.
  3. Select one of the following from Field Name:
  1. Type the Value. This is either the exact Learning Plan Name (if you selected Equal To) or a partial name (if you selected Like), or it is the exact or partial text in the Learning Plan Description field.
  2. Click Preview Results.

The Users mapped to the Learning Plan that would be potentially added to the Dynamic Group are listed in the Dynamic User Results section.

  1. Click Save if you are satisfied with the results.
  2. Click the Users tab to display the Users for this Dynamic Group.
